1. Introduction
Rolson Pharmaceuticals (“we”, “our”, or
“us”) is an Indian pharmaceutical company focused on manufacturing and
marketing affordable healthcare products. Our facilities are ISO 9001:2015 and
WHO-GMP certified, and our products span multiple therapeutic segments.
We have developed the Rolson Medicare
mobile application (“App”) exclusively for our authorised distributors and
business partners. The App provides a single convenient platform to access
product information, place medicine orders, view business schemes, track order
status, and receive important company updates.
This Privacy Policy explains how we
collect, use, store, share, and protect the personal and business information
you provide or that we generate when you use the App. By downloading,
installing, or using the Rolson Medicare App you acknowledge that you have read
and agree to this Privacy Policy.
2. Scope and Applicability
This Policy applies to:

All registered distributors and wholesalers who access
the App using credentials issued by Rolson Pharmaceuticals.
•
All information collected through the App on Android
and iOS devices.
•
All data transmitted between the App and our backend
servers.
This Policy does not apply to third-party
websites or services that may be linked within the App. Those services are
governed by their own privacy policies.
3. Information We Collect
3.1 Account and Identity Information
When your distributor account is created by
our authorised personnel, we collect:

Full name and designation of the authorised
representative
•
Business name, registered address, and GSTIN
•
Drug licence number and validity details
•
Mobile number and business e-mail address
•
Login credentials (username; password is stored only in
hashed form)
3.2 Order and Transaction Data
When you place or manage orders through the
App, we record:
•
Product names, SKUs, quantities, and batch preferences
•
Order date, time, and status (pending, confirmed,
dispatched, delivered)
•
Invoice and payment reference information
•
Delivery address details
3.3 Device and Technical Information
The App automatically collects technical
data to ensure proper functionality:
•
Device model, operating system version, and unique
device identifier
•
App version and crash or error logs
•
Network type (Wi-Fi / mobile data) – not your IP
address
•
Session duration and feature-usage analytics
(non-identifiable)
3.4 Media and Storage Permissions
The App requests the following Android
permissions:
•
READ_MEDIA_IMAGES – to allow you to upload product
images, delivery proofs, or prescription documents when required for an order.
•
WRITE_EXTERNAL_STORAGE (Android 9 and below only) – to
save invoices, order summaries, and scheme PDFs to your device for offline
reference.
These permissions are requested only when
you use the relevant features. You may deny them; however, certain features
(such as uploading images or saving documents) will not function without the
respective permissions.
3.5 Location Data
The App does not collect, track, or store
your precise GPS location. Location permissions are not requested.
3.6 Communications
If you contact our support team through the
App or by phone/e-mail, we retain records of that correspondence to resolve
queries and improve service quality.
4. How We Use Your Information
We use the information collected solely for
legitimate business purposes:

Order processing – to receive, confirm, fulfil, and
track your medicine orders.
•
Account management – to authenticate your identity and
maintain your distributor profile.
•
Business communications – to send order confirmations,
dispatch alerts, scheme notifications, and product updates via push
notifications, SMS, or e-mail.
•
Scheme and pricing management – to display personalised
trade schemes, credit limits, and pricing applicable to your account.
•
Compliance – to meet obligations under the Drugs and
Cosmetics Act, 1940, GST laws, and other applicable Indian regulations.
•
Customer support – to respond to your queries, resolve
complaints, and improve App features.
•
Analytics and improvement – to understand how the App
is used and to enhance its performance and usability. Analytics data is
anonymised and aggregated.
•
Security – to detect, prevent, and investigate
fraudulent activity or technical vulnerabilities.
5. Data Sharing and Disclosure
We do not sell, rent, or trade your
personal or business information. We may share data only in the following
limited circumstances:
•
Internal teams: Our sales, logistics, accounts, and
compliance teams access order and account data strictly on a need-to-know
basis.
•
Technology service providers: Trusted third-party
vendors who host our servers, provide push notification infrastructure, or
maintain the App may process data solely on our instructions and under
confidentiality obligations.
•
Logistics partners: Delivery addresses and order
details may be shared with our courier or C&F (clearing and forwarding)
agents to fulfil shipments.
•
Legal and regulatory authorities: We may disclose
information if required by law, court order, or government directive, including
drug regulatory authorities.
•
Business transfers: In the event of a merger,
acquisition, or sale of assets, distributor data may be transferred to the
successor entity, which will be bound by this Policy.
6. Data Retention
We retain your information for as long as
your distributor relationship with Rolson Pharmaceuticals is active and for a
period thereafter as required by law or legitimate business purposes:
•
Order and transaction records – 7 years (as required
under GST and accounting laws).
•
Drug licence and regulatory documents – for the
validity period of the licence plus 3 years.
•
Account credentials and profile data – duration of the
distributor relationship plus 2 years.
•
Device and analytics data – up to 24 months in
anonymised form.
When data is no longer required, it is
securely deleted or anonymised.
7. Data Security
We implement industry-standard technical
and organisational measures to protect your data:
•
All data transmitted between the App and our servers is
encrypted using TLS 1.2 or higher.
•
Passwords are stored using strong one-way hashing
algorithms and are never stored in plain text.
•
Access to backend systems is restricted by role-based
access controls and multi-factor authentication for administrators.
•
Our servers are hosted in data centres with physical
security, firewall protection, and regular vulnerability assessments.
•
The App is built using the Flutter framework and does
not embed API keys or sensitive credentials in the application binary.
While we take all reasonable precautions,
no method of transmission over the internet is 100% secure. You are responsible
for keeping your login credentials confidential and for notifying us
immediately at the contact details below if you suspect unauthorised access to
your account.
8. Your Rights
As a distributor using the App, you have
the following rights regarding your personal data:

Access: You may request a copy of the personal data we
hold about you.
•
Correction: You may ask us to correct inaccurate or
incomplete information.
•
Deletion: You may request deletion of your personal
data, subject to our legal retention obligations.
•
Restriction: You may ask us to restrict the processing
of your data in certain circumstances.
•
Objection: You may object to the use of your data for
marketing communications at any time.
To exercise any of these rights, please
contact us using the details in Section 12. We will respond within 30 days.
9. Push Notifications
The App may send push notifications for
order updates, new product launches, scheme announcements, and important
alerts. You can manage notification preferences within the App settings or
through your device’s notification settings. Disabling notifications will not
affect your ability to use core App features.
10. Children’s Privacy
The Rolson Medicare App is intended
exclusively for registered business distributors and authorised adult
representatives of pharmaceutical wholesale and retail businesses. The App is
not directed at, and we do not knowingly collect data from, individuals under
18 years of age.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time
to time to reflect changes in our practices, legal requirements, or App
features. When we make material changes, we will:

Display a prominent notice within the App, and
•
Update the “Last Updated” date at the top of this
Policy.
Your continued use of the App after the
effective date of the revised Policy constitutes your acceptance of the
changes. We encourage you to review this Policy periodically.

13. Governing Law and Jurisdiction
This Privacy Policy is governed by the laws
of India, including the Information Technology Act, 2000 and the Information
Technology (Reasonable Security Practices and Procedures and Sensitive Personal
Data or Information) Rules, 2011, and any subsequent legislation including the
Digital Personal Data Protection Act, 2023 as and when it comes into full
effect.
Any disputes arising from this Policy shall
be subject to the exclusive jurisdiction of the courts located in [Insert
